The definitive guide to employee onboarding
The best programmes begin the moment an offer is accepted. Preboarding keeps a new hire warm during their notice period and removes friction from their first day. Send a warm welcome message, share what to expect, confirm start time and location, and set up as much of the administration as the law allows before they arrive.
In Ireland, employers must provide certain core terms of employment in writing within five days of starting, and a fuller written statement within one month, under the Terms of Employment (Information) Acts and the European Union (Transparent and Predictable Working Conditions) Regulations 2022. In the UK, a written statement of particulars must be given on or before the first day. Preparing these documents during preboarding means nothing is rushed or missed.
Practical preboarding tasks include issuing the contract for e-signature, collecting bank and tax details securely, ordering equipment, provisioning email and system accounts, and scheduling first-week meetings. An HRIS such as BambooHR lets you automate this as a checklist so nothing falls through the cracks, and so the new hire can complete their own details in a self-service portal rather than by email.
Il primo giorno e la prima settimana
A strong first day balances welcome with clarity. Assign a buddy or mentor, walk the person through their objectives, and make sure their equipment and access actually work. Nothing undermines confidence faster than a laptop that will not log in or a security pass that does not open the door.
I primi novanta giorni
Set clear thirty, sixty and ninety-day milestones so the new colleague and their manager share a picture of what good progress looks like. Milestones should be a mix of learning goals, relationship goals and early deliverables. Review them in short, regular one-to-ones rather than saving everything for a probation meeting.
Probation itself deserves care. In Ireland, the Workplace Relations Commission (WRC) and recent transparency regulations cap probation periods (generally six months, extendable to twelve in limited circumstances), and employees accrue certain rights from day one. In the UK, the two-year threshold for ordinary unfair-dismissal claims still applies, but statutory rights around discrimination, whistleblowing and automatic unfair dismissal apply immediately. Treat probation as a genuine development window, not a licence to skip good management.
Close the loop by acting on what you learn. If new joiners consistently report that they were unclear about their objectives, fix the manager briefing. If IT access is a recurring pain point, automate provisioning. Onboarding is a living process, and small iterations compound into a materially better first impression.
