15 HR Software Integration Questions to Ask Every Vendor
SEP 4, 2026
Use these 15 practical questions to test how an HR software vendor will connect BambooHR with payroll, finance and IT while protecting data and controlling delivery risk.
What should you establish before assessing an HR integration?
Establish ownership, outcomes and data authority before assessing an HR integration. An integration should solve a defined operating problem, not simply move fields between systems. Before a demonstration, map the events that matter, such as a new starter, salary change, absence approval or leaver, and decide which application should hold the authoritative value for each data item. Then ask: 1. Which business process will this integration improve, and how will we know it is working? Look for measurable operational outcomes such as fewer duplicate updates or faster account provision, rather than broad claims about efficiency. 2. Which system is the source of truth for every shared field? If BambooHR owns a home address but payroll owns a tax code, the design and support documentation should say so clearly. 3. Who is accountable for data quality when records disagree? A credible answer names the validation rules, exception queue, decision owner and correction path. These questions expose unclear responsibilities early. They also help prevent a connected system from spreading an incorrect change across payroll, reporting and user accounts.
How should you test the connection rather than the catalogue?
A marketplace listing or API badge does not explain how a connection behaves in daily use. Ask the vendor to demonstrate your priority workflow with realistic field mappings and failure cases. 4. Is the connection native, supplied by a third party, built through middleware or dependent on custom development? Establish who maintains each component and whether a separate contract is involved. 5. How does data move, and how quickly? Scheduled files may suit some reporting needs, while joiner and leaver events may require more timely processing. Ask about direction of travel, frequency, volume limits and supported API operations. 6. What happens when a record fails? Buyers should see readable error messages, retry behaviour, duplicate prevention, reconciliation reports and alerts to a named administrator. Confirm whether successful records continue when one record is rejected. For organisations already using BambooHR, request a field-level walkthrough using the relevant BambooHR objects and your intended companion system. A live demonstration is more useful than a slide showing product logos.
How should payroll, finance and working-time data be checked end to end?
Payroll and finance connections require particular care because small mapping errors can affect pay, reporting and month-end work. Irish and UK employers may operate in euro, sterling or both, but each legal entity still has its own payroll obligations and chart of accounts. Ask: 7. How are approved employee, pay, leave and time changes transferred to payroll? The response should distinguish automatic updates from files or manual steps, explain cut-off handling and show how retrospective corrections are managed. 8. How are cost centres, departments, locations and general ledger codes validated? Check whether effective-dated organisational changes preserve a usable history and whether finance can reconcile totals back to the employee-level source. 9. How does the design separate countries, entities and currencies without blending their rules? A vendor should identify what its product handles and what remains with the payroll provider or employer. Include statutory leave, working-time data and expense flows where relevant. Do not accept ‘global ready’ as a substitute for confirming the exact Irish and UK services, fields and controls included in scope.
How should employee events connect to IT access?
The strongest HR and IT integrations react consistently to employment events. They should reduce repetitive tickets without granting access solely because a field happens to contain a particular value. Ask: 10. How does a BambooHR joiner, mover or leaver event trigger tasks in our service management and identity tools? Review lead times, approval points, future-dated changes and treatment of cancelled starts. 11. How are roles and permissions calculated, approved and reviewed? The answer should show how department, job, location and employment status inform access while preserving least-privilege controls and human approval for sensitive systems. 12. How are accounts, equipment and software licences recovered when someone leaves or changes role? Test what happens for immediate departures, extended leave, contractors and employees with more than one assignment. Request an audit trail linking the HR event to each completed IT action. Also clarify whether single sign-on and multi-factor authentication cover administrators, employees and integration accounts. Automation should make ownership visible, not hide security decisions inside an undocumented rule.
Which privacy, security and continuity questions matter?
HR integrations process information that deserves proportionate protection. Organisations in Ireland should consider EU GDPR requirements, while UK organisations should consider UK GDPR and the Data Protection Act 2018. The exact assessment depends on the processing, so involve your privacy and security advisers. Ask: 13. What data is transferred, where is it processed and retained, and which organisations can access it? Request a clear data-flow diagram, subprocessor information, transfer arrangements, retention controls and a way to delete data when appropriate. Challenge any design that copies every available HR field when only a small subset is needed. 14. How is the connection secured, monitored and recovered? Cover encryption, credential storage, access logging, security testing, incident notification, backups, service availability and recovery procedures. Ask how integration accounts are rotated and what administrators can see without exposing sensitive values in logs. Finally, rehearse an outage during payroll cut-off or offboarding. A practical continuity plan should explain queued transactions, safe manual procedures, reconciliation after restoration and communication ownership.
Why should delivery and support be part of the buying decision?
A technically capable connection can still disappoint if scope, testing and support are vague. Finish with: 15. What will it take to implement, operate and change this integration over its full life? Ask for the named responsibilities of your team, the HR vendor, the connected vendor and any implementation partner. The answer should cover discovery, configuration, data preparation, test environments, user acceptance, security review, cutover, rollback, administrator training and post-launch support. Obtain a complete cost view, including connector fees, API access, middleware, implementation, support tiers and charges for future changes. Confirm release management: how are breaking changes announced, tested and resolved, and who coordinates when two vendors blame each other? Score every answer against the same criteria: evidence demonstrated, limitations disclosed, ownership clear, and total effort understood. Weight payroll accuracy, privacy and leaver controls more heavily if they present greater risk for your organisation. Record assumptions and exclusions beside the score. This creates a defensible comparison and turns vendor promises into acceptance criteria for the eventual BambooHR integration plan.
