HR Data Migration Checklist: A Safe System Transition in 7 Practical Steps
JUL 11, 2026
Migrating HR data between systems requires careful planning to avoid data loss and compliance issues. This checklist covers cleansing, mapping, parallel running, and validation.
Map Fields Between Source and Destination Systems
Run Systems in Parallel with Daily Reconciliation
Operate both your old and new HRIS simultaneously for at least two full pay periods, entering new transactions into both systems to verify they produce identical results. Create daily reconciliation reports that compare employee counts, total headcount by department, active versus terminated ratios, and key financial totals between systems. Investigate any discrepancies immediately rather than waiting until the end of the parallel period, small issues often indicate larger systemic problems. Test critical processes like new starter onboarding, absence recording, and salary adjustments in both systems to ensure workflows function correctly. This period also allows your HR team to become comfortable with the new interface whilst knowing they can reference the old system if needed.
Validate Statutory and Compliance Requirements
Before cutover, verify that your new system correctly handles statutory calculations, reporting requirements, and data retention policies specific to your jurisdiction. Test that holiday accrual calculations align with local employment law, particularly for employees with varying work patterns or those who joined mid-year. Confirm that Right to Work documentation, training certifications, and other compliance records have migrated with correct expiry dates and reminder workflows. Run sample reports that you regularly provide to auditors, HMRC, or regulatory bodies to ensure the new system can replicate these outputs. Check that data access controls and audit trails meet GDPR requirements, particularly around who can view sensitive information like salary data or disciplinary records.
