HRIS defined
A Human Resources Information System (HRIS) is a software platform that stores, manages, and automates the core data and processes of an HR function. At minimum, it maintains an employee database with employment records, personal details, and organisational structure. Most modern HRIS platforms extend to self-service for employees and managers, absence and leave management, document storage, onboarding workflows, and reporting. Some include payroll, performance management, and recruitment as native modules or integrate with best-of-breed specialist tools.
Why every organisation above 50 employees needs one
Below 50 employees, a well-maintained spreadsheet and a shared drive can manage the basics, though even at this size the limitations are starting to show. Above 50, the volume of employee changes, leave requests, documents, and compliance tasks becomes unmanageable without a dedicated system. Above 100, self-service capability becomes essential: managers need to approve leave without emailing HR, and employees need to access their own records without submitting requests. Above 250, the reporting, analytics, and audit trail requirements of growing organisations demand a platform rather than a collection of spreadsheets.
Core features to look for
When evaluating HRIS platforms, prioritise: a reliable employee database with a clean user interface, configurable leave management that handles all the leave types your organisation offers, document management with electronic signature, self-service for employees and managers, a reporting engine that allows you to build custom reports without IT support, and an open API for integration with payroll and other systems. Avoid platforms that require professional services fees for every report or integration change.
How to run a selection process
Start by listing your ten most time-consuming HR administration tasks and your five most important data or reporting needs. Use these to build a requirements brief. Issue it to three to five vendors. Insist on a demonstration using your own data scenarios, not the vendor's standard demo script. Reference-check with organisations of similar size and industry. Evaluate the total cost of ownership, including implementation, training, and annual fees, over three years, not just the headline per-employee-per-month price.
