7 of the Most Useful HR Reports, According to HR Pros

APR 30, 2026

Not all HR reports are created equal. These seven are the ones HR professionals say they use most often and find most valuable.

Why the right reports matter

An HRIS can produce hundreds of reports, but most HR teams rely on a core set of five to ten that answer the questions that come up most frequently from managers and senior leadership. Knowing which reports matter, and how to interpret them in context, is one of the most practical skills an HR professional can develop. The reports below are consistently ranked as most valuable by HR teams of 50 to 500 employees.

Reports 1-3: workforce composition and movement

The headcount report shows total employees by department, location, employment type, and tenure. Run it monthly and compare month-on-month to track net hiring. The turnover report breaks down voluntary and involuntary departures by team, tenure band, and role level; segmenting by 90-day turnover separately from overall turnover reveals onboarding quality issues. The open roles report shows every active vacancy, the date it opened, the current stage, and the target start date; this is the most-used report for leadership hiring discussions.

Reports 4-5: performance and pay

The performance rating distribution report shows how ratings are spread across the organisation and by manager; outlier managers with all 5s or all 3s are flagged for calibration. The compensation analysis report compares salaries within each grade band and highlights any individuals below the midpoint, above the maximum, or significantly above or below peers in the same role; this is the foundation of the annual pay review process and gender pay gap analysis.

Reports 6-7: absence and engagement

The absence report tracks days lost by type of absence, team, and individual, and calculates the Bradford Factor score for each employee with repeated short-term absences. Run it monthly and share with managers as part of their operational briefing. The engagement trend report overlays pulse survey scores with turnover and absence data for each business unit: this cross-referencing is where the most powerful insights emerge and where HR can demonstrate a clear link between people investment and business outcomes.
