How to Build a Talent Pipeline Before You Need It
APR 28, 2026
Reactive hiring is always more expensive than proactive sourcing. Here is how to build and maintain a pipeline of warm candidates for your most critical roles.
Why talent pipelines matter
The average time to hire for a specialist or senior role is 40 to 60 days from vacancy opening to offer acceptance. For organisations that begin sourcing candidates only after a vacancy has been approved, this delay is unavoidable. Organisations with active talent pipelines can reduce this by weeks by having warm candidates who are already familiar with the employer and interested in future opportunities. For roles that are difficult to fill, a pipeline built over months of proactive relationship-building may be the difference between filling the role at all and leaving it vacant.
How to build and maintain a pipeline
A talent pipeline is built through consistent sourcing activity outside active recruitment campaigns: attending industry events, maintaining a presence on LinkedIn where target candidates are active, building relationships with candidates who were strong in previous recruitment processes but who did not receive an offer at the time, and nurturing alumni networks of former employees who may be open to returning. The pipeline is maintained through regular touchpoints: a relevant piece of content shared occasionally, an invitation to a company event, or a direct message checking whether their circumstances have changed.
