How to Run a Completely Paperless Onboarding Process

Paper-based onboarding is slow, error-prone, and unsustainable. Here is how to move every step of the process fully digital.
The case for paperless onboarding
Paper onboarding is expensive in ways that are easy to overlook: the HR administrator time spent printing, scanning, filing, and chasing signatures; the risk of documents being lost or misfiled; the inability to provide a self-service onboarding experience to remote hires; and the compliance risk of paper documents that cannot be reliably audited at scale. A paperless onboarding process delivers the same legal protections with less effort, greater security, and a far better new-hire experience.
Making the switch
The transition to paperless onboarding has three components: document generation (create contracts, offer letters, and welcome packs digitally from templates in your HRIS), document distribution (send via e-signature platform and store in the employee record automatically), and task management (assign and track all onboarding tasks in the HRIS rather than via spreadsheet or email). Begin with new starters: apply the digital process to every hire from a fixed date and address legacy paper records separately over time. Within two onboarding cycles, the benefits in time saved and compliance improvement will be measurable.
