Why paperless HR is worth the transition

Physical HR documents create significant operational and compliance risk: they can be lost, misfiled, accessed by unauthorised individuals, and are almost impossible to audit at scale. A subject access request under GDPR that requires reviewing paper files is orders of magnitude more time-consuming than one handled through a digital HRIS. Beyond compliance, digital documents are accessible to remote and hybrid workers, can be signed electronically without printing, and can be automatically filed against the correct employee record.

Steps 1-4: the foundation

Audit your current paper trail: list every document type HR currently produces or stores on paper, from offer letters to disciplinary records to right-to-work documentation. For each document, identify the digital equivalent and the system in which it will be stored. Select an HRIS with document management and electronic signature capability. Begin with new processes rather than trying to digitise the entire paper archive immediately: issue all new contracts digitally, complete all new right-to-work checks through a digital verification service, and store all new documents in the HRIS from day one.

Steps 5-8: going fully digital

Digitise legacy personnel files starting with active employees and working backwards chronologically. Train managers on the digital document workflows, particularly electronic signature processes, since this is where most resistance occurs. Establish a document retention and deletion schedule so that records are automatically deleted or anonymised at the end of their retention period rather than accumulating indefinitely. Conduct a GDPR audit of the completed digital system to confirm all documents are appropriately protected, access-controlled, and logged.
