In HR technology terms, an open API means that your HRIS publishes a documented, accessible interface that other systems can use to read or write data without manual exports or complex custom builds. Think of it as a standardised socket that allows any compatible plug, whether a payroll system, an LMS, or a business intelligence tool, to connect and exchange data reliably.

Why open APIs matter for HR

HR technology ecosystems are rarely one-vendor: most organisations use a core HRIS alongside specialist tools for payroll, recruitment, learning, and wellbeing. Without an open API, connecting these systems requires expensive custom integrations or manual data transfers. With one, your developers or your implementation partner can connect tools quickly and reliably, and you are not locked into a single vendor's suite. An HRIS with a well-documented open API also enables you to build custom reporting or workflow automation using internal or third-party development resources.

Questions to ask vendors about their API

Ask whether the API is RESTful (the modern standard), whether it is documented publicly, what rate limits apply, whether webhook support is included (for real-time event notifications rather than polling), and whether all core data objects, including employees, absences, documents, and org-chart data, are accessible via the API. Ask for reference customers who have built integrations using the API and speak to them about their experience. A vendor who cannot answer these questions clearly is unlikely to have a mature integration capability.
