What onboarding technology should do
Good onboarding technology automates the repetitive, error-prone aspects of onboarding: task assignment and tracking, document distribution and e-signature, access provisioning notifications, and communication scheduling. It provides HR with real-time visibility of where each new hire is in the onboarding process and flags anything that is overdue. And it gives new hires a self-service experience: a portal where they can find their documents, complete their tasks, and see what is coming next, reducing the number of 'where do I find?' emails to HR.
Core technology components
The foundation is an HRIS with an onboarding module: BambooHR, Workday, HiBob, and similar platforms all include onboarding workflows that can be configured to your process. Layer on an e-signature solution if your HRIS does not include one natively. For organisations with significant IT provisioning requirements, an identity management integration (such as Okta or Microsoft Entra) that automatically provisions access when a new employee record is created is transformative. For remote teams, a virtual collaboration tool such as Slack or Microsoft Teams with an onboarding bot can automate introductions and cultural content delivery.
