Great onboarding happens in the team, not just in HR. Here is the complete manager's checklist for welcoming and integrating a new hire.

Before day one: manager preparation

Clean and set up the workspace or prepare the remote-working equipment pack. Add the new hire to all relevant team communication channels and shared drives. Block time in your diary for a one-hour welcome meeting on day one. Brief the team on the new hire's role, background, and start date at least three days in advance. Send a personal welcome message to the new hire the week before they start. Prepare the 30-60-90 day plan draft to review and refine with the new hire in week one. Confirm IT access will be ready.

Week one: welcome and orientation

Hold a one-hour one-on-one on day one: tour the workspace or run a virtual team introduction, explain team norms and communication preferences, review the 30-day goals, and ask about any concerns. Introduce the new hire to every team member individually rather than relying on a group meeting. Have lunch with the new hire at least once in week one. By Friday, confirm that all access and equipment issues are resolved and schedule the 30-day check-in.

First 90 days: integration and development

Hold a weekly one-on-one throughout the first 90 days with a standing agenda that includes progress on goals, how things are going socially and culturally, and any questions or concerns. At 30 days: discuss whether initial goals remain relevant and adjust if needed. At 60 days: have the first genuine performance conversation, noting what is going well and what to develop. At 90 days: conduct the formal probationary review, provide written feedback, and agree development goals for the next six months.
